  • Community association name and role (e.g., board member, homeowner, property manager)
  • Payment and billing information
  • Communications you send to us, including support requests and feedback
  • Content you upload, such as meeting minutes, documents, and community records

Information collected automatically. When you access our platform, we may automatically collect:

  • Device information (browser type, operating system, device identifiers)
  • Log data (IP address, access times, pages viewed, referring URL)
  • Usage data (features used, actions taken, session duration)
  • Cookies and similar tracking technologies

Information from third parties. We may receive information from community associations that use Porchlight to manage their membership records, including your name, unit or lot information, and contact details as provided by your association.

We use the information we collect to:

  • Provide, maintain, and improve our platform and services
  • Process transactions and send related notices
  • Facilitate community governance, including meetings, voting, and record keeping
  • Send you technical notices, security alerts, and support messages
  • Respond to your requests, comments, and questions

  • Detect, investigate, and prevent fraudulent or unauthorized activity
  • Comply with legal obligations, including Washington state community association regulations

  • With your community association. If you are a member of a community that uses Porchlight, certain information (such as your name, unit, and contact information) may be visible to board members, property managers, or other authorized users as required for community governance.
  • With service providers. We share information with vendors, consultants, and other service providers who need access to perform services on our behalf, such as payment processing, data hosting, email delivery, and analytics.
  • For legal reasons. We may disclose information if we believe disclosure is required by law, regulation, or legal process, or to protect the rights, property, or safety of Porchlight, our users, or the public.
  • Business transfers. In connection with a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction.
  • With your consent. We may share information with third parties when you have given us explicit consent to do so.

4. Data retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. We may also retain certain information as required by law or for legitimate business purposes, such as resolving disputes, enforcing agreements, and complying with Washington state record-keeping requirements for community associations.

Community association records (such as meeting minutes, governing documents, and financial records) are retained in accordance with applicable law and the association's data retention policies.

We implement commercially reasonable technical, administrative, and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit and at rest, access controls, regular security assessments, and secure data hosting infrastructure.
